Vital or Civil Registration is the recording in the appropriate civil registers, vital acts and events that affect the civil status of individuals. Vital acts and events are the births, deaths, fetal deaths, marriages, and all such events that have something to do with an individual's entrance and departure from life together with the changes in civil status that may occur to a person during his lifetime. Through civil registration, Filipinos are able to show proof of legal identity, citizenship, civil status, and family relationship among others.

In accordance with Rule 10 of Administrative Order No.1, s.1993 (Implementing Rules and Regulations of Republic Act No. 3753 and Other Laws on Civil Registration) “all vital events occurring to Filipinos residing abroad (permanently or temporarily) shall be reported to the Philippine Foreign Service Establishments of the country of residence or where the vital event took place, or where none is located thereat, in the Philippine Foreign Service Establishment of the country nearest the place of residence of the party concerned or where the vital event occurred”. Submission of additional supporting documents may be required by the Embassy for further verification and evaluation of the application.

At the Embassy, reports are accomplished in quadruple sets, of which: (1) a copy is given to the applicant/s, (2) the second copy is retained by the Embassy, and two copies are transmitted to Manila for (3) the Department of Foreign Affairs (DFA) Civil Registry Division and (4) the Philippine Statistics Authority (PSA).

Reports of birth, marriage, and death registered after a year of the date of the vital event are considered delayed registration. In this case, the applicant needs to submit an affidavit of delayed registration.
Petitions for the correction of entries in reports of birth, marriage, and death through Republic Act No. 9048 may be filed at the Embassy.

Many of the documents require apostille or legalization of the Danish Ministry of Foreign Affairs. Click here to avail of their apostille services.
